Sound familiar?
Nobody replaces a working system. They replace one that has quietly stopped working.
These are the problems we hear about most often. If three or more are true, the problem is no longer the spreadsheet.

What CubeCRM is
One customer record
Contacts, companies, enquiries, pipeline, quotes, follow-ups and customer service in one shared record - so every conversation with a customer is on file and nothing slips.
Contacts & companies
One record per customer, with every contact, site, role and note attached, and a full history of who spoke to whom and when. Suppliers sit on the same system, and each customer’s pricing, discounts and credit terms are held on the account. Multi-site customers are modelled properly rather than split into records nobody keeps in step.
How it worksLeads & enquiries
Enquiries from web forms, email and the phone land in one queue, get assigned by rule, and carry their source with them - so you can see which channels produce customers.
How it worksPipeline & opportunities
Every deal at its stage, with value, likelihood and expected close date, on a board the whole team can see. Stages are yours, and moving a deal on is a drag rather than a form.
How it worksQuotes & proposals
Build quotes in a drag-and-drop editor from your own price list, with custom lines, similar and alternative product suggestions and the customer’s discounts applied automatically. See price, cost and margin as you go, preview before sending, keep every revision, route for approval if you want to, and send by automated email from you or the team. Customers can accept online.
How it worksActivities & follow-ups
Calls, meetings, visits and tasks logged against the customer, with phone system integration logging calls and their recordings automatically. Next steps on every deal and reminders that raise themselves mean a promised call-back actually happens.
How it worksEmail & calendar
Two-way sync with Microsoft 365 and Google Workspace, so emails and meetings file themselves against the right contact and company. Full email template management, with emails sent from your own address or from a team address.
How it worksSegments & campaigns
Build lists from anything on the record - sector, region, last order, open quote - and track which campaign an enquiry came from. Sending runs through Mailchimp or your existing platform.
How it worksCustomer service & cases
Queries, complaints and after-sales issues logged as cases against the customer, with owners, priorities and response targets. The salesperson sees the open case before the renewal call, not after it.
How it worksReporting & forecasts
Dashboards by role, with pipeline value, win rates, activity and response times by person and team, and a forecast built from the deals you actually have. Scheduled reports arrive by email rather than waiting to be run.
How it worksMobile access
Look up a customer, log a visit, raise a quote or move a deal on from a phone, on site or between meetings. The record you update in the car park is the one the office sees.
How it worksIntegrations & API
A documented REST API, webhooks on every meaningful event, and connections to Xero, Sage, QuickBooks, Microsoft 365, Google Workspace, Mailchimp and your phone system. How many accounting integrations you run depends on your package.
How it worksPermissions & audit
Control who sees which customers, deals and fields, with approval limits on discounts and a full history of every change - who, what and when.
How it worksWhere to start
Find the bit that is currently hurting
Most people arrive with one specific problem rather than a plan to replace everything. Start there - the rest is already in the same system when you are ready for it.
Core CRM
The system of record - the pages that describe CubeCRM as a whole.
Winning work
Getting the work in: enquiries, leads, the pipeline and the quote.
Running sales
Running the team: activity, forecasts, key accounts and time on the road.
Keeping customers
Looking after them afterwards: records, history, service and repeat business.
Who it is for
Built around how you actually win work
A CRM that suits an agency does not automatically suit an installer handling a hundred web leads a week, or a distributor with two thousand trade accounts.
How it is built
Six things we decided at the start
The decisions that are expensive to change later. We made them deliberately and we do not quietly reverse them for a bigger deal.
One record per customer
Every contact, call, email, quote, case and follow-up sits on the same record, and everybody with permission sees the same thing. The account belongs to the business, not to whoever happens to look after it.
Open by default
Every module exposes a documented REST API and webhooks. If you want customer data in your website, your mail platform or a BI tool, it is there to use rather than locked in.
Your ledger stays yours
CubeCRM wins the work and hands it over. Won quotes and customer details sync with Xero, Sage and QuickBooks, so your accountant keeps the system they know and nobody retypes an invoice.
Security is not an upsell
Role-based access, record-level permissions, full audit trails and UK hosting on AWS are on every package. They are not reserved for the biggest one.
Room to grow
CubeCRM is built on the same data model as CubeERP. If you later need sales orders, stock or a warehouse, we upgrade you to CubeERP and move you over on the records you already have - not a migration to somebody else’s system.
We tell you in the walkthrough if it is not a fit
If CubeCRM is not the right fit we will tell you during the walkthrough, not six weeks into setup. It costs us the sale and saves you the write-off.
What happens next
Getting started, without the mystery
Five stages, all covered by the setup on every package, and you will know who is doing each one.
- 1
Discovery
A short, structured session on how enquiries arrive, how you quote, and where customer information lives now - the inboxes, the spreadsheet, the old CRM and the notebook in the car. We come back with what works as standard and what needs configuring.
- 2
Configuration
Pipeline stages, fields, quote templates, email connection, teams and permissions set up to match how you sell - not a demo account with your logo dropped on it.
- 3
Data migration
Contacts, companies, open opportunities and quote history brought across from spreadsheets, inboxes or your previous CRM, with duplicates merged. You check it against what you had before anybody switches over.
- 4
Training & rollout
Short, role-based training so the sales team learns the pipeline and the office learns enquiries and cases - in person where it helps. Guides and screen recordings left behind for new starters.
- 5
Ongoing support
UK support from the people who built the platform, with response times set by your package, a dedicated account manager on Professional and Enterprise, and a product roadmap you can influence.
- Packages
Pricing coming soon – register your interest
Four packages, each with the full CubeCRM system. They differ by users, integrations, support, training and development time.
- New businesses
Just starting out? There is a Startup package
For businesses trading less than two years: the full CRM from day one, before the spreadsheets and shared inboxes take hold.
- Room to grow
Need more than a CRM later? Move up to CubeERP
If you later need sales orders, stock, a warehouse or a B2B web store, we upgrade you to CubeERP and move you over on the same records.

Where we work
In person, across the UK
We work in person across the UK from our base in Olney, Buckinghamshire. These are some of the areas we regularly cover. If you’re not listed, we’ll still come to you. Remote support is fine for a password reset; it is a poor way to learn how your team actually sells.
