Why it exists

How it started

Crushed Ice has been writing bespoke business software since 2003.

Different industries, different sizes, and wildly different opinions about how a sales process should work - but underneath, the same requirements appearing again and again. Capture the enquiry, get back to it quickly, quote it properly, follow it up, and make sure the next person to speak to the customer knows what was said last time.

Building that from scratch for each client worked, but it was the same work every time. The conclusion was uncomfortable and obvious: most businesses do not need a system built from nothing. They need a solid one that can be shaped, sitting on an API open enough that the unusual parts can still be built properly.

CubeCRM is not a startup guessing at how a sales team works. It is two decades of being told, in detail, by the people answering the phones.

How it is built

Six things we decided at the start

These are the decisions that are expensive to change later. We made them deliberately, and we do not quietly reverse them for a bigger deal.

  • One record per customer

    Every contact, call, email, quote, case and follow-up sits on the same record, and everybody with permission sees the same thing. The account belongs to the business, not to whoever happens to look after it.

  • Open by default

    Every module exposes a documented REST API and webhooks. If you want customer data in your website, your mail platform or a BI tool, you can have it - no integration tier, no per-connector licence.

  • Your ledger stays yours

    CubeCRM wins the work and hands it over. Won quotes and customer details sync with Xero, Sage and QuickBooks, so your accountant keeps the system they know and nobody retypes an invoice.

  • Security is not an upsell

    Role-based access, record-level permissions, full audit trails and UK data residency are in the base product. They are not reserved for enterprise contracts.

  • Room to grow

    CubeCRM is built on the same data model as CubeERP. If you later need sales orders, stock or purchasing, it is an upgrade on the records you already have - not a migration to somebody else’s system.

  • We tell you in the walkthrough if it is not a fit

    If CubeCRM is not the right fit we will tell you during the walkthrough, not six weeks into setup. It costs us the sale and saves you the write-off.

Why we still turn up

Plenty of software companies will sell you a system over a video call and never meet the people who use it. That works for a password manager. It works less well for the system that holds every customer relationship the business has.

Most of what we need to know is learned by sitting with the team: the sticky notes round the monitor, the spreadsheet with a tab per salesperson, the enquiry email that gets forwarded three times before anybody answers it. So discovery and training can happen at your office, nationwide, from Olney.
