Quoting & Proposal Software

Branded quotes and proposals built from your own price list, with every revision kept, automatic chasing and online acceptance that closes the deal.

For a lot of businesses the quote is the sales process: it is the document the customer compares, the one that sets the price, and often the only written record of what was promised.

Yet it is usually built in a Word or Excel template, saved to somebody’s documents folder and chased when there is time. CubeCRM builds quotes from your own products, services and price lists on the customer record, applies agreed discounts and customer pricing automatically, and produces a properly branded PDF or proposal. Every revision is kept, discounts past a limit need approval, follow-ups are scheduled before the quote expires, and the customer can accept online - which marks the deal as won without anybody retyping a line.

What it does

Inside quoting & proposal software

The parts of CubeCRM that make up quoting. Everything here sits on the same customer record, so nothing needs re-keying between them.

  • Your price list, applied

Products, services, labour rates and bundles held centrally, with customer-specific prices and volume breaks applied automatically. Nobody quotes from last year’s figures by accident.

  • Documents that look like yours

Branded quote and proposal templates with your terms, cover letter, photographs and specifications attached. Issued by email from the customer record.

  • Revisions and approvals

Every version kept, with what changed and who changed it. Discounts or margins beyond a threshold need sign-off, and the reason is recorded against the quote.

  • Accept online

Customers accept with a link, which records who accepted and when, and moves the deal to won. It removes the "I thought you had that in writing" conversation.

  • Chasing without a diary

Follow-ups scheduled automatically before expiry, with escalation for high-value quotes and a clear list of everything outstanding by person.

  • Won work to the accounts

An accepted quote can create the customer and a draft invoice or sales order in Xero, Sage or QuickBooks, so finance picks it up without retyping it.

In practice

Problems this actually solves

Typical situations, anonymised. What businesses tell us before they change anything, and what changes afterwards.

  • Case 1

A Word template and a lot of copying

    Before

A commercial kitchen installer built every quote in Word by copying the last similar one. Prices were occasionally out of date, the wrong customer name slipped through more than once, and nobody could find a quote from last year.

    With CubeCRM

Quotes are built from a maintained price list on the customer record and produced from one template. Old quotes are a search away, and copy-and-paste mistakes stopped.

  • Case 2

    Discounts nobody approved

    Before

A trade supplier let salespeople discount freely to win work. Margins on some accounts had eroded for years before anybody noticed.

    With CubeCRM

Discounts past an agreed level now need a manager’s approval with a reason. Margin on quoted work became visible by salesperson, and the worst leakage stopped within a quarter.

  • Case 3

    Quotes that quietly expired

    Before

An events company issued quotes and waited. Around a third were never followed up, because chasing depended on individuals remembering and busy weeks meant nobody did.

    With CubeCRM

Follow-ups are now scheduled automatically and escalate by value. A good share of quotes that would previously have lapsed in silence turned into bookings.

The features behind it

See the parts doing the work

Each one has its own page showing how it works. And if the business later needs orders and stock, CubeCRM grows into CubeERP on the same records.

How it happens

What getting started involves

No mystery and no open-ended project. Five stages, and you will know what each one costs before it starts.

  1. 1

    Discovery

A short, structured session on how enquiries arrive, how you quote, and where customer information lives now - the inboxes, the spreadsheet, the old CRM and the notebook in the car. We come back with what works as standard and what needs configuring.

  2. 2

    Setup

Pipeline stages, fields, quote templates, email connection, teams and permissions set up to match how you sell - not a demo account with your logo dropped on it.

  3. 3

    Data import

Contacts, companies, open opportunities and quote history brought across from spreadsheets, inboxes or your previous CRM, with duplicates merged. You check it against what you had before anybody switches over.

  4. 4

    Training & rollout

Short, role-based training so the sales team learns the pipeline and the office learns enquiries and cases - in person where it helps. Guides and screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • Yes. Lines can be marked optional or alternative, and the customer can choose between them when accepting online. The accepted version is what carries forward.

  • Yes. Files can be attached to the quote or included in the proposal PDF, and they stay against the quote and the customer record afterwards.

  • The deal moves to won, the owner is notified, and - if you use the accounting integration - the customer and a draft invoice or order can be created in Xero, Sage or QuickBooks automatically.

  • For price-list and service quoting, yes. If you need to estimate from bills of materials, live stock costs and production routings, that is CubeERP territory - it shares CubeCRM’s data model, so you can start here and upgrade when you need it.

  • Yes, by salesperson, product, customer type and quote value. Combined with the reasons recorded on lost quotes, it is usually the most useful report a sales team has.
