CubeCRMEarly access

Win the work, keep the customer.

Contacts, companies, enquiries, pipeline, quotes, follow-ups and customer service in one shared record - so every conversation with a customer is on file and nothing slips.

Most growing businesses keep their customers in three places at once: an inbox, a spreadsheet and the head of whoever last spoke to them.

It works until somebody is off, or leaves, or two people quote the same customer different prices in the same week. CubeCRM puts every contact, conversation, opportunity, quote and case on one shared record, so the whole team can see where each customer stands and what happens next. It is built for the five-to-two-hundred-person range: businesses that have outgrown a spreadsheet and a shared mailbox, but do not want to spend a year configuring an enterprise CRM or paying for a consultant to maintain it.

What changes

Three things that are different by the end of the first quarter

Not a feature list. These are the differences people describe when we ask them what actually improved.

  • Nobody works from memory

Every customer’s history is on one screen, so a holiday, a sick day or a leaver does not take the relationship with them.

  • Follow-ups that happen

Next steps on every deal and reminders that raise themselves mean promised call-backs and quotes go out when they should, not when somebody remembers.

  • A pipeline you can trust

Forecasts built from real deals at real stages, not a spreadsheet updated the night before the sales meeting and argued about during it.

Up close

The parts people notice first

Every feature reads and writes the same customer record, so there is nothing to integrate between enquiries, quotes and service - it is one system.

  1. 1

    Pipeline management

Every deal on a board by stage, with value, likelihood, owner and next step - and stalled deals flagged before they quietly die.

    • Boards and stages
    • Next step on every deal
    • Stalled deal alerts
  2. 2

    Email & calendar sync

Two-way sync with Microsoft 365 and Google Workspace - emails and meetings file themselves against the right customer, with nothing to install.

    • Emails filed automatically
    • Calendar both ways
    • Contacts in step
  3. 3

    Quote builder

Branded quotes and proposals from your own price list, with revisions, discount approvals, automatic chasing and online acceptance.

    • Central price list
    • Branded documents
    • Revisions and approvals

The technical answers

The questions your IT people will ask

Answered here rather than in a follow-up call, because they are reasonable questions and the answers do not change.

  • Hosting

UK data centres, managed by the group. Encrypted at rest and in transit, encrypted off-site backups, and a documented, tested recovery process.

  • Devices

Browser-based on desktop and laptop, with a mobile interface built for phones rather than a shrunken desktop screen. Nothing to install on anybody’s machine.

  • Access control

Role-based permissions to record and field level, single sign-on with Microsoft and Google, and an immutable audit log of every change with who, what and when.

  • Your data

Exportable in full, at any time, in open formats. There is no commercial advantage in holding a customer’s data hostage and we do not design as though there is.

  • Updates

Continuous, versioned and migrated. No upgrade project every few years, and no version so old it can no longer be supported.

  • Extensibility

Custom fields, custom pipelines, custom document templates and scripted workflows as standard; bespoke modules built against the same API everybody else uses.

Who we see most often

A description, not a restriction

If you are not on this list, the question is still whether the system matches how you work - and that is a ten-minute conversation, not a qualification form.

  • Sales-led businesses outgrowing a spreadsheet
  • Service and trade businesses that quote every job
  • Teams sharing one customer inbox
  • B2B firms where customers deal with more than one person
  • Anyone whose current CRM nobody bothers to update
  • Growing businesses that may need orders and stock later

It does not stand alone

Keep your email, your accounts package and your phone system

CubeCRM wins the work and keeps the relationship, then hands the finished numbers to the systems you already run. Nothing here is a paid connector.

Getting there

What getting started actually involves

Five stages, each one quoted before it starts. Discovery and training can be done in person, at your office.

  1. 1

    Discovery

A short, structured session on how enquiries arrive, how you quote, and where customer information lives now - the inboxes, the spreadsheet, the old CRM and the notebook in the car. We come back with what works as standard and what needs configuring.

  2. 2

    Setup

Pipeline stages, fields, quote templates, email connection, teams and permissions set up to match how you sell - not a demo account with your logo dropped on it.

  3. 3

    Data import

Contacts, companies, open opportunities and quote history brought across from spreadsheets, inboxes or your previous CRM, with duplicates merged. You check it against what you had before anybody switches over.

  4. 4

    Training & rollout

Short, role-based training so the sales team learns the pipeline and the office learns enquiries and cases - in person where it helps. Guides and screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

By problem

The same platform, described the way people search for it

Features are how the system is built. These are the problems it gets bought to solve.

Core CRM

The system of record - the pages that describe CubeCRM as a whole.

Winning work

Getting the work in: enquiries, leads, the pipeline and the quote.

Running sales

Running the team: activity, forecasts, key accounts and time on the road.

Keeping customers

Looking after them afterwards: records, history, service and repeat business.

Room to grow

CubeCRM is built on the same data model as CubeERP. If the business later needs sales orders, stock, purchasing or production, it is an upgrade on the customers, contacts and history you already have - not a migration to a new system.

Early access

CubeCRM is in early access.

We are onboarding a limited number of businesses at a time, with direct access to the people building it and real influence over what gets built next. We will tell you plainly if something you need is not there yet.

See it with your own customers

Bring a real enquiry, a real quote and the spreadsheet you currently use. A walkthrough using your own customers tells you more in forty minutes than a scripted demo does in a fortnight.
