CubeCRM or CubeERP: which do you need?
Both are built by Cube Systems on the same data model. CubeCRM runs customers, enquiries, quotes and follow-ups. CubeERP does all of that and runs the orders, stock, purchasing, production, despatch and invoicing behind them.

What each one covers
Every row is taken from what the two product sites say each one does. Where CubeCRM stops, the note says where the work goes instead.

Either way
What you get with both
The two products differ in scope. How they are built, hosted, priced and supported does not.
One data model
CubeCRM and CubeERP are built on the same data model, so a customer, a contact or a quote means the same thing in both.
Priced the same way
A monthly or annual subscription per named user with every module included, and setup quoted as a fixed price per stage before any of it starts.
Hosted in the UK
UK data centres managed by the group, encrypted at rest and in transit, with encrypted off-site backups.
Open by default
A documented REST API and webhooks come with both, with no integration tier and no per-connector licence.
Your accounts stay put
Both sync with Xero, Sage and QuickBooks, so your accountant keeps the package they know.
The same team
Built, implemented and supported in the UK by the same people at Cube Systems, with a named contact and agreed response times.
Deciding
Which one to choose
Choose CubeCRM if
Your problem today is customers, enquiries and follow-ups rather than stock or production.
You quote from a price list or for services, not from bills of materials.
Orders, stock and accounts already work, and the gap is account management.
Customer details live in several inboxes, a spreadsheet and somebody’s memory.
You want the accounts to stay in Xero, Sage or QuickBooks, with accepted quotes raising draft invoices there.
You might need orders and stock later, but not yet.
Most CubeCRM customers will never need CubeERP. If you do, it is an upgrade on the same records.
Choose CubeERP if
You need sales orders, stock, purchasing or production now rather than one day.
You hold stock and need free, allocated and on-order figures you can trust.
You make things, and quotes depend on bills of materials, material costs and labour rates.
You need batch or serial traceability, or despatch with carrier labels and proof of delivery.
You schedule engineers or installers and invoice from the job.
You want to see what each job, product and customer cost you.
Your sales team still gets the full CRM: CubeERP includes everything in CubeCRM.
Room to grow
Start with CubeCRM, move up to CubeERP later
The customers, contacts, companies, quotes and history you build up in CubeCRM are the records CubeERP uses for sales orders, stock allocation, purchasing, production, despatch and invoicing. Moving up is a change of licence and some configuration. There is no export, no migration and no retraining exercise.
Nothing to migrate
CubeERP uses the same customers, contacts, quotes and history. Nothing is copied, so nothing has to be kept in sync.
History carries over
Quotes, activities, emails and cases carry straight over, and an accepted quote can become a sales order with live stock availability.
People stay set up
Existing users, teams and permissions stay as they are, with new roles added for the operational side.
Moving up
What moving up involves
- 1
Talk it through
Tell us what the business now needs: orders, stock, purchasing, production or field service.
- 2
A fixed-price scope
We scope the extra configuration and data, such as products and stock balances, and quote it as a fixed price.
- 3
Switch on and train
We switch on the modules and train the people who will use them. Everyone else carries on with the same customer records.
Questions
What people ask when choosing between the two
Yes. CubeERP includes everything in CubeCRM, plus sales orders, stock, purchasing, production, despatch and invoicing. If you run CubeERP, you do not need CubeCRM as well.
Yes. CubeCRM is a complete CRM on its own, and most CubeCRM customers will never need CubeERP.
Nothing is migrated. The two share a data model, so the customers, contacts, quotes and history you built up in CubeCRM are the records CubeERP uses. Existing users, teams and permissions stay as they are.
A change of licence and some configuration. We scope the extra setup and data, such as products and stock balances, quote it as a fixed price, then switch on the modules and train the people who will use them.
Not on its own. Accepted quotes can create draft invoices in Xero, Sage or QuickBooks for finance to approve. CubeERP does sales and purchase invoicing itself, including credit control, VAT and Making Tax Digital, and syncs with the same accounts packages.
The same way: a monthly or annual subscription per named user with every module included, plus setup quoted as a fixed price per stage before it starts. Neither site publishes a price list, because setup depends on your data and your processes. We give a written quote after one conversation.
Yes, and most people do. Starting with stock control or quoting and adding the rest later is a configuration change, not a second purchase.
Book a walkthrough. Tell us how enquiries arrive, how you quote and what happens after the order, and we will tell you which one fits. If neither does, we will tell you that too.
Still deciding
Tell us how you work and we will tell you which one fits
Bring the spreadsheet, the inbox and the order that always goes wrong. If you need CubeERP rather than CubeCRM, we will say so.
