Clients stay because they feel known. That is hard to do from a shared inbox.

Client Management Software in Norfolk

Client Management Software built, hosted and supported in the UK, serving Norfolk including Norwich, King's Lynn and Great Yarmouth. Set up around how your team actually sells, not the other way round.

Across Norfolk we see the same problem in different clothes: plenty of customer information, but not in one place, and not in a form the whole team can act on.

Client Management Software is how you stop relying on memory.

Consultancies, agencies, training providers and other service businesses do not usually talk about customers and pipeline - they talk about clients, engagements, retainers and renewals. The need underneath is the same: know everything about the client, keep every commitment, and make sure the relationship does not depend on one person. CubeCRM holds each client with its contacts, engagements, proposals, documents, notes and correspondence on one record, with renewal dates, review meetings and follow-ups raising themselves. New work is tracked from enquiry to signed proposal, and existing clients get as much attention as prospects.

What it does

Inside client management software

The parts of CubeCRM that make up client management. Everything here sits on the same customer record, so nothing needs re-keying between them.

  • Engagements on the client

Projects, retainers and one-off pieces of work recorded against the client with dates, value, owner and status, so everybody can see what is live.

  • Proposals and letters of engagement

Branded proposals built from your service catalogue, with revisions tracked and online acceptance recorded against the client.

  • Documents where they belong

Briefs, contracts, reports and correspondence attached to the client or engagement they relate to, not scattered across a shared drive.

  • Reviews and renewals

Retainer renewals, annual reviews and contract end dates with reminders well ahead, so renewals are planned conversations.

  • Correspondence in one thread

Emails and meetings with the client filed automatically from Microsoft 365 or Google Workspace, so the whole team sees the relationship.

  • Confidential where it needs to be

Restrict sensitive clients or documents to named people, with every access and change logged.

In practice

Problems this actually solves

Typical situations, anonymised. What businesses tell us before they change anything, and what changes afterwards.

  • Case 1

A consultancy that lived in the partners’ inboxes

    Before

A 25-person consultancy managed its clients through the partners’ email. Associates had little visibility of client history and new partners inherited clients with almost no context.

    With CubeCRM

Client correspondence, proposals and engagements now sit on shared records with sensitive clients restricted. New team members pick up a client with the full history in front of them.

  • Case 2

Retainers that lapsed without a conversation

    Before

A marketing agency’s retainers ran on annual terms, but renewals were only noticed when a client stopped paying. Two lapsed that could probably have been saved.

    With CubeCRM

Renewal dates are tracked with a review meeting scheduled three months ahead. Renewals are now discussed in good time, and the agency has a clear view of recurring income.

  • Case 3

    Proposals rebuilt from scratch

    Before

A training provider rewrote its proposals for each client, reusing old documents where somebody remembered one existed.

    With CubeCRM

A service catalogue and proposal templates mean most proposals are assembled in minutes, with the price list current and every revision kept against the client.

How it happens

What getting started involves

The same process wherever you are, and for Norfolk discovery and training can be done in person.

  1. 1

    Discovery

A short, structured session on how enquiries arrive, how you quote, and where customer information lives now - the inboxes, the spreadsheet, the old CRM and the notebook in the car. We come back with what works as standard and what needs configuring.

  2. 2

    Setup

Pipeline stages, fields, quote templates, email connection, teams and permissions set up to match how you sell - not a demo account with your logo dropped on it.

  3. 3

    Data import

Contacts, companies, open opportunities and quote history brought across from spreadsheets, inboxes or your previous CRM, with duplicates merged. You check it against what you had before anybody switches over.

  4. 4

    Training & rollout

Short, role-based training so the sales team learns the pipeline and the office learns enquiries and cases - in person where it helps. Guides and screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • Yes. Consultancies, agencies, surveyors, architects, training providers and similar firms all use client management in much the same way. If you are regulated and need a specialist practice management system for compliance, CubeCRM can sit alongside it for business development and client relationships.

  • CubeCRM tracks engagements, proposals and values. Detailed time recording and billing usually live in your practice management or accounts package, and won work can be passed to Xero, Sage or QuickBooks.

  • Yes. Individual clients, engagements or documents can be restricted to named people, and every access is logged.

  • Clients can accept proposals online. A full client portal is not part of CubeCRM as standard; if you need one, it can be built against the API.
